The Opportunity

We are seeking a Project Administrative Assistant to support project execution and operational excellence. In this critical role, you will work directly with the Senior Project Lead to ensure seamless coordination across Sales and Operations. The ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced environment. This is an opportunity to be a key player on one of the most experienced teams in the industry.

Key Responsibilities

Ownership and accountability for technician logistics, including but not limited to:

  • Booking travel, rental vehicles, and housing consistent with Next Step’s Travel Policy and Comfort Check List.
  • Work with HR to resolve issues that arise with flights, rentals and housing.
  • Potential off-hours for emergencies.
  • Communicate logistics and travel plans to project leadership and technicians.
  • Input all travel logistics into HR spreadsheets and company project management tool.

Order, inventory, and distribute uniforms and miscellaneous project tools.

Track daily product shipments and update stakeholders.

  • Coordinating with carriers and delivery drivers, including taking calls prior to office hours (off-hours) depending on project time zone.

Memorialize product specifications and process warranty claims.

Oversee tool and material inventory and serve as the point of contact for storage providers.

Manage storage, equipment rental, disposal, and recycling logistics.

Provide rebate support for the Senior Project Lead.

Maintain consistent communication with all stakeholders, including but not limited to the internal team and management, property managers, building owners, building engineers, manufacturers, and vendors.

Receive office deliveries from UPS, FedEx and other carriers.

Perform other miscellaneous duties as assigned.

Ideal Candidate Profile

  • 2+ years of administrative experience with demonstrated independence and accountability.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills with attention to detail.
  • Ability to manage competing priorities and deadlines in a fast-paced environment.
  • Professional presence; represents the company with integrity and polish.
  • Proactive problem-solving abilities.
  • Proficient in Google Workspace and Microsoft Office.
  • High School Diploma or equivalent industry experience is required; an associate’s or bachelor’s degree is preferred.
